6.1.5 CHANGES/ENHANCEMENTS

Client Register

You can now edit an alert without getting an error message.

Address

When editing an address the system will now ask you if it is a new address or if you were making changes to the existing address.

Clinical Data Forms

When you click on the encounter button at the top of Client Clinical Data Forms (EP-40) you will get a list of all encounters for your client. This list now shows a column that is titled forms. If there are forms filled out for that encounter it will display a “yes.” If you highlight that encounter and click show clinical data forms, you will get a list of all forms that were filled out for that encounter.

Then encounter number now appears in the header of all forms that have been filled out. You can also print the forms once they have elements filled out and saved on them.

Labels

Two new Dymo labels added, Encounter Specific and Client Chart Alternative.

Private Insurance Policy Information (CR-01)

The age validation on the date of birth field has been changed from 50 years to 100 years.

Private Insurance company combo box now contains the company address.

If the private insurance policy number was the same as a Medicaid number it was not recognizing the private insurance policy. This has been fixed.

Expanded the private insurance policy ID field to allow more characters.


Appointment Scheduling

You can no longer delete an appointment for roster clinic if there is already an encounter created for that appointment.

When printing from AS-02 and using the short format with windows print engine, it was not printing the entire list of names. This has been fixed.

In roster clinic, if you click print or if you print a sign-in sheet, it will now print in the same sort order that is selected on the roster clinic listing.


Check-In

The insurance area of the check-in screen has been changed to look like Medicaid. This should fix any problems that people were having with the multi-policy selection.


Encounters

**NOTE: If you received the error “No Appointment Record” when processing encounters. If you have received this error, you will need to verify the ledger records for those appointments to make sure that they transferred correctly.


Billing

Client Billing (BL-02)

The payment screen will no longer allow a negative misc. credit to be added.

Client Statements

The client statements will now only print the most recent reason code for returning the balance to the client.

The error log for client statements was not writing to the folder designated in Preferences for error logs. This has been fixed.

When a date was entered on the BL-50 screen to include services through and then you ran a client statement from the client billing ledger, it was using that date instead of today’s date. This has been fixed.

You can now view the statement message for the site you are printing statement for on BL-50. If you are printing statements for more than one site, you will need to edit the site record to view the statement message.

You can now run statements for services on or before. This can also be run in conjunction with range of clients and last name range.

Contract Billing

A Site combo has been added to Contract Payer Maintenance BL-12. This is for use by Health Departments that cover multi-county areas (Southwest Utah), and limits the list of contract payers that are available to users by the site associated with their User ID.

Medicare Ledger

Will no longer cause an error when returning a split service to the client ledger from the payment posting screen.

Medicaid Ledger

LIN Segment on 837 Claim if IM service given in other program.  Removed this segment.

The institutional paper EOB setting will no longer interfere with non-institutional Medicaid claims.

The system will no longer strip the WA Medicaid ID numbers.

When returning a balance from the Medicaid ledger back to the Client ledger the rounding rules were not applied on the return so it was creating a Medicaid Discount. This has been fixed.

The claim order now matches and the billing report order match.

Medicaid Institutional Claims only - ST01 was changed from I to 837 for further testing with Medi-Cal. Set Principals on Encounter Detail, EP-01 is now being picked up in the ANSI Institutional electronic claim.

Private Insurance Ledger

Manual Ledger Transfer, when 2 PI policies have the same number, date range check was choosing wrong policy.

The PDF HCFA print of VFC procedures will no longer cause an error message.

The group code field will now only allow alpha, numeric, “-“ or “_”.


Reporting

Changed “Progress Indicator” window.

Aged Receivables Report (SR-50)

Many changes were made to this report so it would function similar to the Revenue Detail Report.

Client Billing Averages (SR-103)

This report is now showing client pay items only.

Client Write Off Balances (SR-69)

This report will now display any balances that may be a negative.

Procedure Code Detail (SR-22)

Expanded the field size for the page number.

Revenue Detail Report (SR-100)

Many changes were made to this report.


Vaccine Inventory

Lot Usage (VI-06)

Since you can have the same lot number for both state and private, the lot usage would not show either if one was marked as inactive. This has been fixed and will now show the lot numbers for both sources but if you chose the one that is no longer active, inactive will appear next to it on the screen.


System Maintenance

Data Clean Up and Reporting - Verify and Clean Data (SM-107)

Added an option to recreate deleted appointments for existing encounters.

Data Clean Up and Reporting - Check All Medicare Splits

This is a new addition to the data clean up and reporting. It will fix errors that you have on your Medicare splits.

Data Clean Up and Reporting - Merge Duplicate Client Records (SM-86)

You will no longer get an error when you try to print from the deduplication screen.

Tables Menu - Clinical Data Forms

You will now need to go into a form once it is active and select the elements you would like to be active on the form. The elements no longer default as active on the first edit of the form.

Tables Menu - Primary Care Physicians Listing (SM-89)

The actions menu options are now working.

Procedure Menu - Sliding Fee Scale Maintenance (SM-53)

Delete button is now enabled.

System Users Maintenance

Changed the description of user rights to read EP-01 Add/Edit/Delete instead of listing them separately.
