Appointment Scheduling

Get Clinic now displays civilian times.

Client ID, Client Name, and Client Age has been added to the Get a Clinic (AS-03) screen for use when selecting the appropriate clinic for appointment scheduling.


Clinical Data Forms - Beta testing in version 6.1.1

Clinical Data Forms are a system enhancement that includes 14 data sets ranging from medical histories to risk factor assessments addressing prenatal care. Each Health Department can select the data form as well as data elements within each form that they wish to utilize in their programs. Also included with this enhancement is the ability to track client allergies, medications and contacts (see buttons at the bottom of Client Information (CR-23). This system enhancement brings PHClinic very close to meeting the requirements for a public health client electronic medical record. The Clinical Data Forms have been added to the system as the result of a project with 4 Kansas Health Departments (Cowley, Harvey, Reno and Sedgwick) and was funded by the Sunflower Foundation in Kansas. Note: Clinical Data Forms are currently in Beta Testing.


Client Billing

When doing a manual transfer, the deactivated insurance companies and contract payers no longer are listed.


Contract Billing

When posting a contract payment, the paid by drop down menu is now sorted in the same order as the contract maintenance screen.


Medicaid

A change has been made to entry of Medicaid ID numbers that allows for tracking Medicaid eligibility in the system, as well as tracking for multiple Medicaid ID numbers necessary in some states.

Add/Edit Medicaid Numbers from Client Data Verification (CR-37) or Billing Information (CR-32):

<Click> Edit Medicaid #’s, then <click> Add to enter a new Medicaid ID number. Enter effective date, ending date may be left open. Select Type if applicable and make any necessary changes to the Medicaid name fields. <Click> Ok.

Select a Medicaid ID number on CR-53 and <click> Edit to update an existing Medicaid ID record to make corrections or enter an eligibility ending date. Medicaid ID numbers may also be deactivated.

Note: Medicaid eligible procedures will automatically transfer to the Medicaid ledger only if there is a current active Medicaid ID number. If there is more than one current, active Medicaid ID number, be sure the ID number you want to use for procedures processed on the encounter is selected when you <click> Ok on CR-37.


Medicaid ID Lengths

A button has been added to the Billing Menu called Medicaid ID Lengths which can be used to set an edit over Medicaid ID number min/max lengths. A default can be set for all Medicaid ID numbers without a type or the edit can be set for each Medicaid ID type.


Medicare

Medicare name fields have been added in conjunction with the Medicare ID number. Use these fields to record the name on the Medicare card to be used for Medicare billing.


Private Insurance

When posting a payment in the private insurance ledger the payer drop down menu is now sorted in the same order as the private insurance company listing screen.


Billing

The ability to print CMS 1450 (UB-92) claim forms for Medi-Cal (California) has been added to the Medicaid Ledger. The Medicaid Billing Claims Processing (BL-66) screen now has a button labeled Print CMS1450.


Client Data Verification (CR-37)

Changes have been made to the Client Data Verification screen (CR-37) to allow for the change to track history of Medicaid eligibility dates as well as tracking multiple Medicaid ID numbers and Medicare names.

Alerts, referrals and prior authorization fields are now more visible on the Client Data Verification screen.


DHEL (KS Lab Interface)

When a DHEL procedure is deleted, it is now automatically deleted from the packaging screen.


Hot Keys

The Alt+F1 hot key to access Code Table Maintenance from a combo-box field was not working in all combo fields. This has been fixed for many fields where it was not allowing access. Please report any fields where this is still a problem to the Help Desk.


Tables Menu/Clinical Data Forms

Set up for Clinical Data Forms is available in the Tables Menu. See the Client Register/Encounter Detail, Clinical Data Forms section on the previous page for additional information.


Vaccine Inventory

An Active column has been added next to the Expiration Date column on Vaccine/Lot Inventory (VI-01) <click> Lot Record Maintenance. This will make it easier to see which lots are active or inactive when the Active flag is not selected on VI-01.
